Follow these simple steps to update your email signature in Gmail with both HTML and plain text versions.
Step 1: Open Gmail Settings #
Go to your Gmail inbox, click the gear icon in the top right, then select “See all settings.”
Step 2: Create a New HTML Signature #
Scroll to the “Signature” section. Click “+ CREATE NEW” and assign a unique name to your new HTML signature.
Step 3: Copy the HTML Signature to Clipboard #
Open the HTML signature link in a new browser tab (preferably in Chrome). It should look like this:
Click anywhere on the page, then copy everything:
- Mac: CMD + A, then CMD + C
- Windows: CTRL + A, then CTRL + C
Step 4: Paste into Gmail Signature Settings #
Return to Gmail settings and click into the newly created signature field.
Tip: Press Return three times before pasting to create space above the signature. After pasting, press Return once to add a line below.
- Mac: CMD + V
- Windows: CTRL + V
Step 5: Create a New Text Signature #
Repeat steps 2 through 4 using the plain text signature link:
Step 6: Update Signature Defaults #
Set your signature preferences:
Step 7: Save #
Scroll to the bottom of the settings page and click “Save Changes.”
Step 8: Test #
Click “Compose” and verify your new signature appears correctly.
- For new emails: Select your HTML signature.
- For replies/forwards: Select your TEXT signature.
Step 9 (For iPhone Users): Turn Off Mobile Signature #
To ensure consistency across devices, turn off Gmail’s mobile signature:
- Open Gmail sidebar
- Tap “Settings” > “Signature Settings”
- Make sure “Mobile Signature” is turned off
- Tap “Done”
